POSITION OVERVIEW:
A UHNW family seeks an experienced Estate Manager to launch and standardize operations across five residences. This role will travel to each property to implement protocols, staffing structure, vendor systems, service standards, and preventative maintenance programs, ensuring every home operates with consistent, luxury-level efficiency and readiness at all times.
The Estate Manager is responsible for full operational oversight, maintenance, vendor management, capital improvement planning, and service consistency across a portfolio of luxury residences and rental properties. Each home, regardless of size or frequency of use, must remain guest-ready, secure, fully staffed, and maintained to a mirrored standard of excellence.
KEY RESPONSIBILITIES:
Property Oversight & Service Standardization
• Set up complete household operations for all homes, including systems, standards, and workflows.
• Create and enforce SOPs and service protocols for housekeeping, laundry, kitchens, and guest readiness.
• Maintain mirrored service levels across all residences, including cleanliness, functionality, stocking, preventative maintenance, seasonal transitions, and presentation.
• Ensure all properties are maintained in turnkey, guest-ready condition.
Preventative Maintenance & Systems Management
• Develop and manage preventative maintenance programs covering HVAC, plumbing, electrical, generators, water systems, alarms, security cameras, smart home systems, appliances, irrigation, roofs, gutters, and exterior integrity.
• Create property-specific maintenance calendars and ensure execution.
Vermont Estate Management (Acreage, Barn & Outbuildings)
• Coordinate care and maintenance of the Vermont estate, including barn, outbuildings, access roads, fencing, snow removal, storm readiness, tree management, and groundskeeping.
• Manage infrastructure needs specific to rural properties.
Vendor & Contractor Oversight
• Source, hire, schedule, and manage vendors across all locations.
• Maintain vendor agreements, warranties, and regional service contacts.
• Review invoices for accuracy and manage services within budget parameters.
Staff Coordination
• Coordinate staffing models per residence based on usage and seasonal needs.
• Support hiring recommendations and training standards.
• Ensure staff follow household protocols, reporting structure, and service expectations.
Budgeting, Reporting & Asset Protection
• Create and manage operating budgets for maintenance, utilities, seasonal preparation, and capital projects.
• Track expenses across properties and report to the Principal or Family Office.
• Protect all properties as high-value assets through proactive oversight.
Capital Projects & Renovations
• Manage renovations and property improvement projects from planning through completion.
• Coordinate bids, timelines, quality control, and documentation.
Security, Emergency Readiness & Response
• Ensure all homes maintain security systems, access control, and emergency readiness plans.
• Act as point person for urgent property situations and regional emergencies.
Rental Property Oversight
• Oversee rental properties to ensure maintenance, inspections, vendor servicing, turnover coordination, and asset protection.
Seasonal Opening, Closing & Guest Readiness
• Manage seasonal transitions across all residences.
• Ensure arrival readiness through completed checklists prior to occupancy.
QUALIFICATIONS:
• 8–15+ years of experience managing luxury private residences, estates, or multi-property portfolios.
• Proven experience building household operations from scratch across multiple properties.
• Strong vendor management, staffing leadership, and project management skills.
• Experience managing rural acreage estates strongly preferred.
• Highly organized, discreet, calm under pressure, and service-driven.
• Willing and able to travel frequently across multiple states.
